Send mail using the University's postal services

The Mailroom provides comprehensive mail and postal services to Schools, Professional Services Units and Departments.


Student mail

The Mailroom does not deal with student mail. All student mail should be addressed to the relevant hall of residence or private address.

Opening hours

  • Monday to Friday: 8am to 5pm
  • Saturday and Sunday: closed

Mailroom services

Royal Mail delivers all University-addressed mail to the Mailroom each morning and collects the outgoing mail in the afternoon. The deadline for last post is 3:30pm at the Mailroom.

The Mailroom driver collects and delivers mail for most Schools and Professional Services Units once a day. Delivery times are available on request.

You can send letters and parcels to UK and international addresses by both Royal Mail and Courier services.

All letters and parcels will be sent 2nd Class unless clearly marked for 1st Class.

UK items up to 2kg can be sent using Royal Mail 1st Class, 2nd Class, Tracked, Special Delivery or Signed For services. Ensure that the address includes the postcode.

Please attach the Mail request form (Word) if you require Tracked, Special Delivery or Signed For services. The form will be returned to you with the tracking number and postage cost. If you need the form in an accessible format, please email mailroom@st-andrew.ac.uk.

International items up to 2kg can be sent using Royal Mail services or by DHL. Where an international item needs to be tracked, additional information may be required. The USA now requires a phone number and email address for tracked letters and parcels.

Items above 2kg will be sent by either Parcelforce or DHL.

Couriers

The couriers used by the Mailroom are:

  • Parcelforce for UK items over 2kg
  • DHL for international parcels
  • DHL for UK and international letters that need to be tracked and delivered quickly

Items sent by courier require a recipient's contact phone number. An email address should also be provided if possible.

Parcelforce

Parcelforce will accept items up to 30 kg within the UK and offer the following services:

  • Parcelforce 24
  • Parcelforce 48
  • Parcelforce 48 Large, for bulky items that exceed 300cm²

DHL

You can send individual items of up to 75kg or multiple items up to 100kg by DHL.

A pick-up by DHL must be booked by 1pm if an item needs to be sent the same day. The Mailroom will require enough time to process the shipping request before that deadline.

Some departments already have a DHL account. Please check with your office if you are not sure how to send your item.

Sending items abroad

Letters

When sending letters abroad, please affix a blue airmail sticker to the top left-hand corner of the envelope. The Mailroom will make a franking mark on the top right-hand corner. Airmail stickers are available from the Mailroom on request.

The envelope should clearly show the destination country and postcode or zip code.

Parcels

If you are sending something abroad, you must complete a customs form for any package or parcel that contains items other than documents.

  • Items with a value below £270 require a CN22 label
  • Items with a value of more than £270 require a CN23 label

These labels can be generated by the Mailroom at the point when the postage or shipping request is created. All the necessary information should be provided with the item when it is collected by the Mailroom staff.

Please complete the Customs information form (Word). This will give the Mailroom the information needed to submit details of the contents to Customs. If you require the tracking number and cost, please also complete a Mail request form (Word). If you need the forms in an accessible format, please email mailroom@st-andrew.ac.uk.

Letters and parcels can be sent abroad using either Royal Mail or DHL.

Bulk mailing

If your School or Unit is preparing a bulk mailing, you should:

  • contact the Mailroom two days before posting
  • keep all addresses facing the same way up

Internal mail

Many Schools and Units are spread over different locations throughout the University. To help the Mailroom team deliver the mail to the right place, please address your internal mail as fully as possible, including the name of the Department and building where the recipient is based.

If you are sending mail to Walter Bower House, make sure the name of the Department is clearly shown on the item so it can be placed in the correct locker.

Forwarding mail

  • Make sure the recipient’s name is clearly visible after covering the old address
  • Mail from outside the UK can be forwarded back out of the UK
  • Mail from the UK cannot be forwarded outside the UK without charging your account

Personal deliveries

The purpose of the Mailroom is to provide an internal and external postal service for the University of 58勛圖.

All mail addressed to the University that is delivered by Royal Mail will be delivered into the Mailroom. If any item delivered to the Mailroom appears to be personal rather than work-related, the Mailroom team will email you to advise you that a package has been delivered. You, or a nominated person, will need to collect the item from the Mailroom within 48 hours. ID will be required at the time of collection. Amazon lockers are available around the University and should be considered as delivery options.

Only items delivered by courier will be delivered directly to the building shown on the address. Please ensure the correct building address and your contact phone number have been provided. If a courier is unable to access the building or contact the recipient, the item could be returned as undeliverable or left at a different address and lost.

Charges

There are no additional charges for Mailroom services. The cost of postage is recharged to Schools and Units using the appropriate cost centre coding.
